You can delete a workspace that is no longer needed without losing data contained in that workspace, which allows you to better organize the hierarchical positions of all projects in the database. Workspaces can be deleted by an application administrator, or a user with the Workspaces privilege.
Only application administrators have the option to delete a workspace along with all its data. The workspace and all data cannot be deleted if the workspace contains any of the following:
- A child workspace
- An inherited fund
- A project with funds allocated from a portfolio in the parent workspace
- Data associated with a resource or role in the parent workspace (for example calendars, locations, codes)
- A workflow, risk analysis, project move, or currency recalculation in progress
- A budget transfer to or from another workspace
To delete a workspace:
- In the object selector, select Workspace, and then select View Workspaces List.
- On the Workspaces page, select a workspace row.
- Select the Context menu, and then select Delete.
- (For users with the Delete Workspaces privilege) If the workspace is empty and does not contain any data, select Delete in the Delete Workspace? dialog box.
If the workspace is not empty and contains data, review the message in the Delete Workspace? dialog box, and then select Delete.
- (For application administrators) Select Move to the parent Workspace to keep workspace data or Delete everything to delete the workspace and all of its data, and then select Delete.
Note: If an ID already exists at the parent workspace when the deleted workspace data is moved, the system appends the ID with a time stamp. The time stamp is formatted as YYMMDDHHMMSSmm.
- The list of workspaces is updated and the deleted workspace is no longer visible. You will receive a notification when the delete is complete.
Tips
- When a workspace is deleted and the data is moved to the parent, you can select View Log in the notification or go to Manage Services and view the Delete Workspace Log.
- If a CBS or evaluation category is present in a workspace, the delete workspace action will fail. The CBS and evaluation category must be deleted manually if you want to delete the workspace.
- When a workspace is deleted and all content is moved to the parent workspace, the workspace costs are recalculated based on the currency and exchange rate in the new location.
